Thinking about what a 90-day AI implementation plan for a mid-sized company that wants to move fast but stay smart. I'd start with Marketing (high ROI, low risk), then expand cross-functionally.

Month 1: Pilot Phase — Quick Wins in Marketing

Goal: Test 2-3 AI tools to prove value and build internal confidence
Tools: Jasper, SurferSEO, Copy.ai, HeyGen

Steps: Audit current marketing workflow (content creation, email, social).

Replace manual copywriting with Jasper or Copy.ai.

Use SurferSEO to optimize 10 key blog posts for traffic.

Test HeyGen by creating 3 AI avatar videos for outbound or product explainer.

Set up dashboards to track time saved, CTR improvements, and lead gen.

Team Involved: 1 marketing lead, 1 content creator, 1 AI champion (me)
Success Looks Like: 30–50% faster content production, 10–20% boost in organic traffic

Month 2: Expansion Phase — Sales & Customer Support

Goal: Improve outbound quality, automate support, reduce human load
Tools: Apollo, Humantic, Regie.ai, Intercom Fin AI

Steps: Feed your ICP into Apollo, generate targeted lead lists, auto-sequence outreach via Regie.ai

Integrate Humantic to personalize messages by buyer psychology

Layer Intercom Fin into your website and support desk — AI resolves common issues

Start tracking response times, resolution rates, and sales reply rates
Team Involved: Sales team, support lead, 1 AI project manager
Success Looks Like: Fewer support tickets escalated to humans, better lead-to-response ratio

Month 3: Cross-Departmental Sync — Product, Ops, HR

Goal: Align the org and use AI to inform decisions
Tools: Notion AI, Figma AI, Ramp, Lattice, ChatGPT Custom GPTs

Steps:Product team prototypes in Figma AI and gathers instant user feedback

HR sets up a GPT for onboarding and integrates Lattice AI for engagement tracking

Finance automates expense categorization with Ramp AI

Internal Notion pages become AI-searchable for faster project ramp-ups

Team Involved: Product, HR, Ops, Finance
Success Looks Like: Fewer meetings, faster onboarding, better internal visibility

Core Mindset: Build Trust, Not Just Tools

Pick one champion per department. They test, share wins, and train others.

Document results in plain English. Make outcomes visible to leadership.

Ask: Is this saving us time? Improving quality? Creating new opportunities?
If yes, scale. If no, pivot.
